Email notification for a new order

1. Order Notification

Upon successful placement of an order by a customer, you, as a vendor, will receive an immediate email notification for the respective order.

This notification will contain essential details about the order, including product information, quantity, and customer details.

Tip: Ensure your registered email address is active and check your spam folder if you don't receive notifications.

2. Order Management

You can manage and update the details of your orders directly from your vendor admin panel.

To access an order, click on the Orders tab in the left side of the vendor panel. Select the required order to view details like product information, payment status, and shipping details.

Order Summary:

  • Order ID: #135
  • Total Amount: $12.31
  • Payment Method: Razorpay

Order Details:

  • Product: Product_name
  • Subtotal: $12.99
  • Discount: $0.68

Customer Instructions:

  • Customer Notes: Ship it fast

Order Status:

  • Status: Paid

Notice: Vendors are advised to keep the order details accurate to avoid confusion for customers. Ensure all details are updated as required.

3. Order Status Overview

In your vendor admin panel, you will find a comprehensive overview of all your orders and their current statuses.

Understanding these statuses is crucial for efficient order management:

  • Paid: Payment has been received, but shipping or fulfillment may still be pending
  • Completed: Order has been fully fulfilled and delivered.
  • Accepted: The vendor is preparing the order for shipment.
  • Failed: The payment attempt was unsuccessful.
  • Declined: The payment was declined by the payment gateway or manually by the admin.
  • Backordered: The order is accepted but some or all products are out of stock.
  • Cancelled: The order was canceled by the customer or admin before processing.
  • Awaiting Call: The store is waiting to contact the customer before proceeding.
  • Fraud checking: The order is flagged as potentially fraudulent, possibly by the payment system or manually.
  • Incomplete: The customer started the checkout process but did not finish it.

Tip: Regularly check the 'Order Status' section to stay updated on your sales and manage your inventory effectively.

Shipment and delivery process

4. Shipment & Fulfillment

For all orders placed on Setu Store, the shipment and fulfillment process is handled directly by the marketplace.

Once you mark an order as "Accepted" or a similar status, our logistics team will take over to ensure timely delivery to the customer.

You will be able to track the shipment status through your vendor panel once it's handed over to the marketplace for delivery.

Key Point: Your primary responsibility is to prepare the order for shipment and update its status accurately. The marketplace manages the delivery.

5. Return/Refund Request

You will be able to view any return or refund requests related to your orders within your vendor admin panel.

However, please note that vendors are not allowed to perform any actions on these requests.

All return and refund processes, including approvals, rejections, and processing, are handled directly by the Setu Store administration team.

Important: While you can monitor the status of return/refund requests for your information, any direct action or communication regarding these requests must be handled by Setu Store administrators. Please do not attempt to process returns or refunds yourself.
